Conference Bid Executive
SMG Europe is the operating company responsible for managing Aberdeen Exhibition & Conference Centre and
contracted by Aberdeen City Council. As operators of the venue, SMG Europe is committed to creating a diverse
programme of outstanding conference, exhibition events as well as live entertainment, banqueting and

The Role:        Conference Bid Executive
Reporting to: Head of Conference Sales


KEY DUTIES AND ACCOUNTABILITIES
Main Responsibilities:
- Maximise potential opportunities with associations and conference organisers by representing AECC
through attendance at promotional events such as trade shows and other sales initiatives in the UK.
- Arrange regular sales appointment trips to visit potential conference clients.
- Create and manage AECC’s own sales missions with the aim of getting face to face with existing and
potential clients in order to progress and secure new business.
- Maintain good client relationships through regular communication and events in order to identify and
win new business for the centre.
- Work closely and in conjunction with AECC partners such as; VisitAberdeen, VisitScotland, Aberdeen
International Airport and Aberdeen Hotels Association in order to produce destination focused
proposals.
- Conduct client site inspections as required, and support the sales team on familiarisation trips and
other events hosted by AECC, identifying potential clients to view the facilities and the destination as
a whole providing them with a better insight in to what the venue and the city can offer.
- Attend to incoming customer enquiries (by telephone, email and via the AECC website) promptly and
delegating, where necessary to other team members.
- To assist in the production of all relevant documentation needed for conference bid proposals.
- Monitor the progress of sales enquiries and chase contracts to conclusion, ensuring that sales
procedures are adhered to.
- Utilise and input data into the AECC’s computerised event planning system EBMS, for the effective
management of all events at the venue.
- Work closely with the conference sales team, identifying new leads and sharing ideas to help with the
success of association business at the venue.


PERSON SPECIFICATIONS
Knowledge & Qualifications

- A working knowledge of the industry within the UK and overseas markets
- Excellent sales and negotiation skills
- Proven experience in sales with a good record of achieving targets
Skills
- Good organisational skills
- Should have excellent written and verbal communication
- Ability to work under pressure and to deadlines
Experience
- Experience in working with clients to achieve and manage client expectations
- Previous experience in the event industry
