Location: first direct Arena

Hours:  18.75 hours per week

Contract: Fixed term for 12 months

An exciting opportunity has become available to join the team at the first direct Arena.  We are looking for an Administration Assistant to work alongside the Events and Operations team. The ideal candidate will be self-motivated and reliable with at least 12 months administration experience. You should be able to multi-task and have excellent communication skills with a helpful and friendly manner. PC literacy skills with knowledge of Microsoft programs, is essential.

 

JOB PURPOSE

1) Provide effective administrative support to a busy Event and Operational Department
2) To support the team with basic financial administration including payroll and purchase order management
3) To attend and minute the meetings of the Event Operational teams

 

MAIN DUTIES AND RESPONSIBILITIES

• Pre-Show Event Administration; updating event paperwork and circulating documents eg. Riders and plans to internal and external staff and Contractors.

• Updating the online filing software with pre show information including on sale plans.

• Post-show Event Filing and Administration; circulating post event documents and reports and uploading to the online filing system.

• Ensuring the events calendar is up to date and sending upcoming events listings to stakeholders within the Region.

• Booking staff by issuing purchase orders to Venue Contractors (Security / Medical and Cleaning provisions) for Events.

• Purchase order management and creating new filing systems to record spends by the Events and Operations Team.

• Inputting casual staff payroll and full time staff hours.

• Scheduling meetings and managing operational managers diaries

• Attending meetings with Contractors, other Venue Departments, new and potential Clients and minute taking.

• Ad hoc administration duties as and when required.

 

PERSON SPECIFICATION

• Experience of providing administrative support in a busy office environment
• Experience of facilitating and minuting meetings
• Experience of developing and managing administrative systems
• Ability to manage time effectively and prioritise workload, working both as part of a small and busy team but also independently.
• Proficient with all Microsoft Office applications and exceptional written and verbal communication.
• Ability to build good working relationships and be confident with internal personnel, suppliers, partners and visitors.
• Ability to work under pressure, multi task, take self-initiative and to work to strict deadlines

 

HOURS

• This post is offered as a fixed term 12 month contract for 18.75 hrs per week with a salary of £18,000 pro-rata.
We anticipate the core hours to be spread over 3 – 5 days, Monday - Friday although hours can be flexible for the right candidate. Occasional evening or weekend work may be required around specific events
